The role

In this role, you will be responsible for advising our expedition team members on human resources matters. This position offers a diverse work experience and provides opportunities for professional growth within a fast-paced and supportive work environment.

 

Duties and responsibilities

• Assist with the Expedition Team hiring process by managing and sending out contracts to hired members, collecting material related to required certificates, and communicating any pertinent information.

• Oversee the analysis of expedition team members' data and information, providing reports for the expedition team department manager.

• Research and prepare occupational classifications, job descriptions and salary scales.

• Advise expedition team members on the interpretation of company policies and independent contract agreements.

• Establish and implement policies and procedures to hire the expedition team members.

• Research and prepare occupational classifications, job descriptions and salary scales

• Carry out Expedition Team reservations in the booking system.

• Draft and send the Expedition Team the Adventure Canada Package related to their trip(s).

• Propose improvements to methods, systems and procedures.

• Occupational health and safety

• Book flights, book hotels, purchase Travel Insurance and coordinate any special requests for the Expedition Team.

• Provide all manifests, staff lists etc. to the Operations team, Purser and necessary management.

• Coordinate, edit, and at times write Expedition Team biographies for shipboard and website use.

• Oversee the development of communication strategies regarding expedition team members.

• Coordinate and communicate with all back-to-back Expedition Team for shipboard and flight information.

• Carry out post-trip communications (survey links, resources etc. as needed).

• Arrange appointments such as (seaman’s books, medical apt coordination, etc.).

• Coordinate all Expedition Team gift-shop items for ship.

• Compile presentation schedule for each trip and provide it to Operations.

• Coordinate Office Staff welcome packages, final packages insurance, flights, and all necessary information for their expeditions.

• Respond to questions and complaints of the Expedition Team members such as packing list, baggage allowance, flight details, visa requirements, and all other random questions asked to you by the Expedition Team.

• Carry out one-on-one chats with all Expedition Team and Office Staff and debrief important information to the Operations team.

• Follow up on any Expedition Team transfer list notes that are incomplete or waiting for further details.

• Provide support to the Managing Director in other projects as assigned.

• Provide administrative support for all Expedition Team companions media reps etc.

• Attend, engage, and assist in tasks such as opportunities, events, social gatherings and other projects as required.

• Contribute to other company projects and goals that may not be a part of your daily tasks as Operations often include unforeseen situations that require assistance to get the job done.

• The willingness and ability to travel for work, including meeting international and domestic vaccination requirements.

• Support expeditions, through participation in remote polar travel to indigenous communities.

 

Experience Required

• 3 years  of work experience with human resources management

• Post-secondary education in human resources management or a related field, such as business administration or psychology.

• TICO certification.

• Highly proficient in Microsoft Office Suite Platforms (Teams, Outlook, Excel, and Word), Project Management software, Synology sever, booking database, and chat platforms).

previous experience with client database management and cloud-based technology is an asset.

• Budget and planning experience.

• Experience with health/life insurance is an asset.

• Highly organized and able to manage multiple tasks in tight time frames.

• Positive, collaborative, team player.

 

Skills

Critical and Analytical Thinking: Ability to think critically, grasp complex concepts, and articulate them in a simple, engaging way.

Technological Proficiency: Daily you will be working with 3-5 different technological platforms.

Attention to Detail: Strong attention to detail and ability to spot and correct errors.

Problem-solving: Conflict resolution skills, research-based problem solving and thinking outside the box attitude.

Strong communication skills: Oral and written communication are both critical to the role as you will be required to speak with each Expedition Team member in a clear, concise, and professional manner.

Explorer: A love for travel and familiarity with Adventure Canada’s expedition destination.

Independence and Collaboration: Demonstrates ability to work well independently and function in a team environment while maintaining high levels of communication with others.

Willingness to Learn: Personal commitments towards lifelong education and implementing the Truth & Reconciliation Commission’s calls to action are strong assets

• Creative, diplomatic, and calm under pressure with fantastic interpersonal skills.

• Detailed and process-oriented.

• Comfortable in a small office/family business environment; positive and adaptable to a variety of duties.
