Accounting Clerk – Village Dairy Ltd.

Location: 3475 Smith Drive, Armstrong, BC
Employment Type: Full-Time, Permanent
Compensation: $24.50/hour – 30 hours per week
Workplace: On-site (No remote option)

Village Dairy Ltd. is a long‑established cheese manufacturing and dairy processing facility located in Armstrong, BC. We supply high‑quality dairy products to wholesalers, distributors, dealers, and retail customers through our factory shop, which also offers coffee, snacks, and fresh dairy items. Our operations include manufacturing, wholesale distribution, retail sales, raw milk and materials intake, and packaging of finished products. We are a small family-owned cheese company, who take great pride in making artisan cheese. Our cheeses are made from local whole milk from the Okanagan Valley and natural ingredients only. From pasteurization to packaging, it is all done here at our cheese plant. Our cheese recipes are unique to our company, and our cheese makers are some of the bests in Canada. We make varieties of  fresh Cheddar Squeakers (cheddar cheese curds), flavoured or traditional cheeses, certified organic cheeses, (Our product line includes Cheddar, Flavoured Cheddar, Monterey Jack, Parmesan, Edam/Gouda, Swiss Cheese, Mozzarella, Butter Cheese, Feta Cheese, Organic Cheese). We are federally licensed. All our cheeses are rennet free, have no added moisture and are Free from: modified milk ingredients, additives and preservatives.

We are looking for qualified and experienced individuals those who are nearby to our Plant.Experience in the same field is a must for this position. Specify your experience in the Diary /Food Processing Plant/ Manufacturing while you apply to this position. We are seeking a detail‑oriented and reliable Accounting Clerk to support our financial operations across all business units—manufacturing, wholesale, retail, and supply chain.

 Position Overview

The Accounting Clerk will be responsible for a broad range of accounting, bookkeeping, and administrative tasks. This role supports daily financial operations, inventory and cost tracking, retail and wholesale sales reconciliation, and compliance reporting. The ideal candidate is organized, accurate, and comfortable working in a fast‑paced food‑processing/ manufacturing environment, with wholesale and retail operations.  Need to perform some or all of the following duties, Calculate, prepare and issue documents related to accounts such as bills, invoices, inventory reports, account statements and other financial statements using computerized and manual systems. Code, total, batch, enter, verify and reconcile transactions such as accounts payable and receivable, payroll, purchase orders, cheques, invoices, cheque requisitions, and bank statements in a ledger or computer system, Compile budget data and documents based on estimated revenues and expenses and previous budgets, Prepare period or cost statements or reports, Calculate costs of materials, overhead and other expenses based on estimates, quotations, and price lists, Respond to customer inquiries, maintain good customer relations and solve problems, Perform related clerical duties, such as word processing, maintaining filing and record systems, faxing and photocopying. Detailed Key Responsibilities to be taken care of:

1. General Accounting & Bookkeeping

  • Prepare, post, and maintain general ledger entries and journal entries for daily transactions.
  • Manage accounts payable, including verifying vendor invoices, matching purchase orders, and preparing payments.
  • Manage accounts receivable, including issuing invoices and tracking outstanding balances.
  • Perform bank reconciliations and ensure all transactions are accurately recorded.
  • Monitor deposits, withdrawals, and discrepancies.
  • Assist with monthly, quarterly, and annual financial statements.

2. Sales Reconciliation & Financial Reporting

  • Record and reconcile daily sales from retail, wholesale, and dealer accounts.
  • Prepare sales summaries, cost tracking reports, and financial reports for management.
  • Support management with financial documentation for internal reviews and audits.

3. Wholesale, Retail & Inventory Financial Support

  • Generate and issue invoices for bulk cheese and dairy product sales.
  • Maintain dealer account records and payment schedules.
  • Reconcile retail POS transactions and daily cash-outs.
  • Support inventory tracking for finished products, packaging materials, and production supplies.
  • Assist with inventory valuation and product movement documentation.

4. Cash Handling & Payment Processing

  • Process cash, debit, and credit transactions from the retail store.
  • Prepare daily cash balancing sheets and bank deposits.
  • Investigate discrepancies in sales or payment records.

5. Administrative & Office Support

  • Maintain organized filing systems for invoices, receipts, purchase orders, and financial records.
  • Perform data entry, document preparation, email correspondence, and scheduling.
  • Respond to customer and vendor inquiries regarding invoices, payments, and account statements.
  • Update and retrieve financial data using accounting software and electronic systems.

6. Compliance, Audit & Reporting

  • Ensure all financial records comply with company policies and accounting standards.
  • Assist with internal reviews and audits by preparing required documentation.
  • Prepare operational and financial reports for management and regulatory bodies.

  • Strong knowledge of accounts payable and accounts receivable processes
  • Ability to prepare and reconcile general ledger entries, journal entries, and bank statements
  • Proficiency in preparing invoices, account statements, inventory reports, and financial summaries
  • Skilled in transaction coding, batching, verification, and data entry using computerized and manual systems
  • Experience with inventory valuation, cost tracking, and monitoring product movement
  • Ability to calculate material costs, overhead, and production-related expenses
  • Competent in preparing periodic financial reports, cost statements, and supporting financial documentation
  • Familiarity with audit preparation, compliance reporting, and internal review support
  • Strong command of MS Excel, MS Word, accounting software, and electronic filing systems
  • Ability to manage POS reconciliation, cash balancing, and deposit preparation

 Administrative & Organizational Skills

  • Excellent ability to maintain organized filing systems for invoices, receipts, purchase orders, and financial records
  • Strong document management skills, including word processing, email correspondence, and scheduling
  • Ability to work under pressure, manage tight deadlines, and handle multiple priorities
  • Skilled in maintaining accurate records for wholesale, retail, and production-related transactions
  • Strong attention to detail with a high degree of accuracy in all financial tasks

 Education & Experience Requirements

  • College/CEGEP diploma in Accounting, Bookkeeping, Business Administration, or related field
  • 3–5 years of relevant accounting or bookkeeping experience
  • Experience in manufacturing, food processing, or retail/wholesale environments is an asset
